Safety Specialist & Administrator

SUMMARY

The Safety Specialist and Administrator is responsible for the development, implementation, and continuous improvement of the winery’s safety and compliance programs. This role ensures a proactive approach to maintaining a safe work environment that meets or exceeds OSHA and other regulatory standards applicable to the winery and practices. The Safety Specialist and Administrator fosters a culture of safety across all departments and supports the winery’s commitment to employee well-being and regulatory compliance.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:

Program Development and Implementation:

  • Develops, implements, and maintains safety policies and procedures in compliance with OSHA and state regulations.
  • Develops, edits, and updates safety training content. Leads and coordinates safety training programs for managers, staff, and temporary employees, including new hire safety orientation.
  • Coordinates use of outside Safety consultants and trainers as needed for complete and comprehensive safety program that meets the unique needs from each department.
  • Develops and maintains a Job Hazard Analysis (JHA) library for departmental use.
  • Ensures compliance with fall protection program administration requirements.
  • Safety Record Management and Compliance:
  • Maintains and updates OSHA-required record keeping and documentation, including safety inspections and training logs, certified equipment operators, audiometric testing records, respirator usage approvals, temperature monitoring, and OSHA 300 Log and posting the OSHA 300A annually.
  • Stays current on OSHA regulations, standards, and best practices.
  • Ensures the winery is in full compliance with applicable safety regulations, including coordination of tasks and documentation.
  • Ensures required safety posters and signage are properly displayed and updated.
  • Manages Certificates of Insurance (COIs) and ensures vendor and contractor compliance with company safety requirements and procedures.
  • Oversees and maintains documentation for monthly inspections (e.g., AEDs, fire extinguishers, ladders, and equipment)

Inspections and Audits:

  • Oversees facility inspections to identify and mitigate potential safety hazards.
  • Investigates all accidents and injuries, identifies root causes, and implements preventive measures and applicable policies.
  • Conducts annual evaluations of the Health and Safety Program; revises the Injury and Illness Prevention Program (IIPP) and related documents as needed.
  • Coordinates ergonomic assessments for new and current employees; ensures timely follow-up for reported concerns.

Communication and Reporting:

  • Schedules and facilitates Safety Committee meetings; sets objectives and ensures follow-through.
  • Completes the Risk Control Assessment (RCA) as required by the workers’ compensation insurance provider.
  • Assists with emergency communications to employees through Alert Media.
  • Manages the California Environmental Reporting System (CERS) submissions and responds to regulatory inquiries.
  • Completes and submits the Electronic Verification Questionnaire (EVQ) as required.
  • Maintains and updates the Safety Data Sheet (SDS) library; collaborates with IT to ensure accessible digital access across employee devices.

Administrative:

  • Collaborates with the CFO to develop and monitor the safety program budget.
  • Manages workers’ compensation claims, including claim reporting, coordination with insurance, and return-to-work programs with modified duties when appropriate.
  • Coordinates annual fire extinguisher service and liaises with emergency services for inspections, supports departments with related safety inspections from outside agencies (health, fire, etc.)
  • Partners with the Human Resources Manager on safety-related updates to employee handbooks and company policies.
  • Plans and executes emergency preparedness drills and safety training events.
  • Purchases and manages inventory of safety supplies and PPE; serves as the point of contact for department requests.
  • Builds strong working relationships across departments to support and promote a culture of safety.
  • Attends safety seminars, conferences, and workshops to stay informed on industry best practices and regulatory changes (may include occasional travel).

SUPERVISORY RESPONSIBILITIES: This position does not have direct supervisory responsibilities but will provide guidance and training across departments.

Education and/or Experience:

  • Bachelor’s Degree preferred.
  • Minimum of 5 years of experience in occupational health and safety, preferably in manufacturing, agriculture, or winery operations.

  • Strong understanding of OSHA regulations and workplace safety programs.
  • Excellent verbal and written communication skills.
  • High attention to detail with a commitment to accuracy.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Strong organizational, analytical, and problem-solving skills.
  • Ability to work both independently and collaboratively.
  • Proficient in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint).
  • Familiarity with safety-related systems and reporting tools is a plus.
  • Bilingual in English and Spanish preferred.

  • The base salary for this position starts at $75,000 with potential adjustments based on experience and qualifications
